Hiring: Client Care & Operations Coordinator (Part-Time, Hybrid)

Healing Recovery Centre | Newmarket, ON

Healing Recovery Centre is a collaborative mental health and wellness practice dedicated to providing compassionate, trauma-informed, client-centred care.

As we continue to grow, we are seeking a Client Care & Operations Coordinator to become the central hub of our client experience and internal operations.

This role is ideal for someone who is both people-oriented and systems-driven. Someone who finds meaning in supporting individuals through their first steps into care while also strengthening the operational backbone of a growing clinic.

About The Role

You will serve as the primary point of contact for new clients and work closely with our Clinical Director to ensure smooth intake processes, strong community engagement, and well-organized internal systems.

This is a hybrid role (primarily remote) with occasional in-person support required.

You will report directly to the Clinical Director.

Key Areas Of Responsibility

1. Client Intake & Experience (Primary Focus)

  • Conduct Discovery Calls with prospective clients

  • Assess client needs and guide them toward appropriate services

  • Match clients with clinicians based on clinical fit and availability

  • Coordinate care from inquiry to first appointment

  • Set up client profiles and document intake notes in Jane

  • Respond to client inquiries with warmth, clarity, and professionalism

  • Support intake processes for specialized programs

2. Team Coordination & Clinical Support

  • Coordinate clinician availability and referral matching

  • Support onboarding and offboarding processes

  • Troubleshoot scheduling and workflow systems

  • Maintain clear and updated internal processes and SOPs

3. Community Engagement

  • Assist in promotional materials and event coordination
  • Support the development of community partnerships

  • Help expand clinic visibility through organized communications

4. Executive & Operational Support

  • Partner with the Clinical Director on operational projects

  • Maintain digital filing systems and backend infrastructure

  • Support marketing initiatives and program launches

  • Update website content and basic backend systems as needed

Compensation & Benefits

  • $27–$30 per hour

  • 4% vacation pay included

  • Employee position

  • 15–20 hours per week
